Copying and pasting is one of the most basic things you’ll do on a computer, but if you’re new to Mac, the shortcuts might feel a little different from Windows. Don’t worry—it’s actually very simple once you know the keys and options available.

The Keys You Need

  • Command (⌘) – the main key for shortcuts, found next to the space bar.
  • Option (⌥) – also marked as Alt on some keyboards.
  • Control (⌃) – used mostly for right-clicks.

If you’re using a Windows keyboard with your Mac:

  • The Windows key usually works as Command.
  • The Alt key works as Option.

Copy keeps the file or text where it is, while Cut removes it after you paste.

How to Copy and Paste Text or Files

  1. Select the text, image, or file you want.

  3. Place your cursor (for text) or open the folder (for files) where you want to paste.
  4. Press ⌘ + V to paste.

Paste Without Formatting

Sometimes pasting text also brings along its original font and size, which can look messy. To paste so it matches the style of your current document:

Using Menus

Copy and Paste Between Mac and iPhone/iPad

Thanks to Universal Clipboard, you can copy something on one Apple device and paste it on another.

To use it:

  1. Make sure both devices are signed into the same iCloud account.
  2. Turn on Wi-Fi, Bluetooth, and Handoff.
    • On Mac: System Settings → General → AirDrop & Handoff.
    • On iPhone/iPad: Settings → General → AirDrop & Handoff.
  3. Copy text or an image on one device (⌘ + C on Mac, Copy on iPhone).
  4. Paste on the other (⌘ + V on Mac, Paste on iPhone).

There might be a short delay, but it works smoothly once set up.

Copy Text from Images

On macOS 12 and later, the Live Text feature lets you grab text directly from photos, screenshots, or documents.

How to use it:

  1. Open the image in Photos, Safari, or Preview.
  2. Hover over the text until the cursor changes.
  3. Select it, then copy and paste as usual.

Make sure Live Text is enabled in System Settings → General → Language & Region → Live Text.

Troubleshooting Tips

  • If copy and paste isn’t working, restart your Mac or update macOS.
  • If you can’t copy files to an external drive, check the drive’s Permissions:
    • Right-click the drive → Get Info.
    • In Sharing & Permissions, set it to Read & Write.
